3.0      Locate Posted Ad Exchanges

In order to make an ad exchange you will need to locate posted ad exchanges and begin a dialogue of requests and responses that will lead to ad approval and display.

3.1.     Response Procedure

Let’s locate or search for a posted request for exchanging ads.

From the ‘Exchange Ad’ Page, you can locate a posted request by specifying the country (mandatory) with one or more of the following:

If you know a store that you want to exchange with, type in their ‘Business Name’ and the country.  To search for exchange postings in an area, type in the city or zip code and the country name, then click the ‘Submit’ button.

When the search finds cases matching your criteria, you will see a table listing the results, as shown below.  Choose the one you want to view by clicking on the business name.

As shown below, two columns of information are presented.  On the right is the seller information.  On the left is the buyer information.  The seller posts an exchange request.  The buyer responds to an exchange request.  In the current example, you are responding to a request, so you are the buyer.  After reviewing the seller’s information, if you decide to exchange an ad with the seller, you then complete the form and submit it to seller.

Your contact information is automatically filled in for you.  (Maintain your contact information from the ‘Display Location Profile’ page under MyAdTV by clicking the ‘Edit’ button.)

If you have multiple display location accounts, choose which display location you want to exchange your ad with. Use the drop down list of available display locations.

A display location template uses one, two, or three frames.  Choose the frame you want to use for the exchange.  The seller will see which template and frame you are offering.

Choose the ‘Submit Ad Content’ option from the drop down list box. Choose ‘No Content’ in order to negotiate the terms first and submit the ad later.  Select an existing ad from the pull down menu if you have created ads for the template used on the seller side.  MyAdXchange will automatically detect if you have ads that can be used for the seller’s template.  Select ‘Create New Ad’ if you want to create a new ad for this exchange.  Once you choose ‘Create New Ad’, the software will redirect you to MyAdPlayer where you can create a new ad (using skill learned in the MyAdPlayer content creation exercise).

Choose the ad type sub tab under MyAdPlayer and build your ad.

Press the ‘submit’ button once the ad inputs are complete.

You are then brought to the Content Summary sub tab under MyAdPlayer where you click on the ‘Back to Ad Exchange Page’ button, as shown below.

This returns you to the ‘Exchange Ad’ page, where you can select the new ad from the ‘Submit Ad Content’ drop down list.

Now complete the remaining fields.

Enter the monitor type you plan to use to display the digital signage; the common types are CRT, LCD, and plasma.

Enter the size of the monitor 19”, 24”, 42” etc.

If you know your monitor resolution, you can select the value from the pull down menu. Otherwise, select 640x480 for CRT, 1024x768 for LCD and 1280x760 for plasma. The display software automatically scales the image to fill the screen; so exact monitor resolution values are not always necessary.

Next, indicate if you have sound on your digital signage screen.  (Some users will be submitting flash files or movie files with sound.)

Enter the hours that you want your ad to be run.  The buyer’s offered number of hours should match the seller’s number of hours.

Then, select the days of the week.  Your store may be open on different days than the seller’s; select the days that apply.  In general, the total ad run time for a week should closely match the seller’s.

You can enter comments such as a brief description of your store.  In addition, if you want to propose different terms, you can offer the new terms in the comment area.

Now click the ‘Submit’ button.

Your ad exchange has been posted and you are brought to the Trade Summary sub tab under MyAdXchange.

The seller will be notified by email that you have submitted a response to the ad exchange offering.

The seller will see the proposed exchange from their Exchange Ads sub tab.

Once the seller has reviewed your information and wants to move forward, their next step will either be: to send you a message; or to submit content for your approval.  In either case, you will be notified by email whenever the seller has sent you a response.

We will review how to close the deal in the sections below.

3.2      Approval procedure

After the seller has reviewed and approved the content that you have submitted, you will receive an email notifying you that the seller has sent you a message. At this point, you must log on to your MyAdTV user account, go to the Trade Summary sub tab under MyAdXchange, and review and approve the ad content submitted by the seller.

Once you are satisfied with the submitted content, you will set the Status to ‘approve’.

Then you will write the seller a concise message informing them that you have approved the content.

If the seller just sent you a message only, perhaps informing you to change your ad or set different terms, you will reply to the seller by typing in your message in the ‘Send A New Message’ text area.

The seller will be notified of the reply. And when the seller replies to you, you will again receive an email. You can continue to communicate with the seller until both sides agreed on the terms and approved the ads.

3.3      Activate the Exchange

The last step is to activate the exchange by changing the Status field to active. This will complete the transition.

Once again, please keep in mind that you and your trading partners bear all responsibilities for carrying out the exchange agreement, not MyAdTV. You must settle any difference directly with your trading partners.

If you need to cancel an ad exchange, simply locate the ad exchange case in the ‘Trade Summary’ page; click on the case number to access the trade details; and select ‘cancel’ in the ‘Status’ field.  Once you cancel an exchange, your ad and your partner’s ad are promptly suspended from each others players.  As a matter of business courtesy, please provide advance notification to your ad exchange partner.

3.4      Editing Ad Content

After you have activated the exchange, you may go back and change the content of your ads.  You should be sure to inform your trading partner about the change.  To communicate your change, you can send a message from the ‘Trade Summary’ page.  Locate the case, click on the case number, and send your trading partner a message. Upon receipt, your partner can review your ad content from his/her account at any time.

To edit MyAdXchange ads, click on the ‘MyAdPlayer’ tab. Then change the location to ‘MyAdXchange’.

You will now see a list of ads you have created for MyAdXchange.

The list is very similar to MyAdPlayer except you cannot insert new ads. You can edit an ad by clicking on the ‘E’ or to view an ad by clicking on the ‘V’. The ‘Edit’ page and the ‘View’ page are the same as in MyAdPlayer.

REMINDERS:  Keep in mind that when you make changes to these ads, it will take effect immediately.  Furthermore, you can delete an ad that you no longer need.  However, this ad must not be active (in any of the ad exchanges).  You will not be able to delete an ad until you have cancelled all ad exchanges using this ad.

3.5      Practice Ad Exchanges with a Partner

You can practice using MyAdXchange by personally asking your neighboring store(s) to participate. Since anyone can sign up for a free account, there is no risk in trying out.

You can first post an exchange request and then ask your neighbor to locate and respond to your exchange.

After both of you have completed the transaction and set the status to active, you can display the content on your own computers. (Follow the instruction in the MyAdPlayer User Guide on playing back content.)

Then you can try to cancel the exchange and see that the ads on both sides have suspended.

4.0      Assign Ad Exchange responsibilities to your Web Designer or Content Manager

If you have limited time to create content or to communicate with trading partners, you can subscribe to another user account and assign someone else to handle the task of content manager. (Follow the instruction in the MyAdTV User Guide on creating new user account.)

Both you and your content manager will be able to access to the same information posted to the display location (or player account).  Any content or exchange activities posted by your account manager, you will be able to modify.  This way, you retain full control while delegating the day-to-day work.
